Title: SPECIALIST SECRETARY STUDENT SERVICES DEPARTMENT

JOB GOAL: To efficiently perform duties as Medicaid Specialist; to provide secretarial services; and maintain an efficient, effective and well-organized office; create goodwill and understanding on behalf of the Student Services Department 

Responsibilities:
1.    Be a good team mate and work with other office staff.
2.    Maintains Autism and Jon Peterson Scholarship, SAFE Website.
3.    Monitors homeschool paperwork for scholarship students and maintains current scholarship list and shares with coordinator, director as well as related services.
4.    Accounting tasks including maintaining account balances, completing requisitions, placing orders, sending out items as ordered, and pay invoices.
5.    Assist with the preschool program at Flying Colors and Head Start including making arrangements for subs as needed, print progress reports and set up school fees.
6.    Establishes and maintains all required information for reimbursable Medicaid services, providers, and parental signatures as well as informs the Director of Student Services and Treasurer of the progress and concerns of the Medicaid School Program.
7.    Prepares necessary correspondence as needed.
8.    Maintains CN302 for each building.
9.    Assists in maintaining confidential files.
10.    Receives telephone calls for Student Services Department, assists in the response to calls, provides staff with accurate information for callbacks.
11.    Maintains an inventory of needed forms and other supplies.
12.    Maintains school schedules for speech pathologists and psychologists.
13.    Processes professional leave, absences and mileage for psychologists, special education coordinators and Director.
14.    Processes professional leave and mileage for speech therapists.
15.    Processes professional leave for any leave paid for out of special education funds.
16.    Prepares correspondence and maintains old files for Social Security and Goodwill requests.
17.    Prepares correspondence to graduating seniors with IEP's/answering requests for records.
18.    Maintains, scans, uploads and destroys old files electronically (On Base).
19.    Cross training in Computerized Information Management System and EMIS, Progress Book and SINC reports
20.    Assist in the preparation of Special Education CIMS and EMIS reports for Child Count.
21.    Assist in scheduling preschool screenings and Child Find.
22.    Calculating and inputting catastrophic costs and excess costs.
23.    Works with testing secretary for alternate assessment needs.
24.    Performs other duties as assigned by the Student Services Director and special education coordinators.
